The Opportunity:
As a Project Management Specialist at KBR, you will play a critical role in supporting the successful delivery of projects within the Integrated Workforce Projects (IWP) team. Working closely with the Senior Manager Operations and Senior Specialist, Project Management, you will contribute to the timely establishment, execution and completion of project activities across a diverse portfolio.

You will draw on your strong grounding in project management principles to provide essential administrative, coordination and governance support that enables project teams to operate efficiently and effectively.

Key Responsibilities:
- Provide administrative and coordination support to assist with the day‑to‑day operation and delivery of IWP Projects.
- Support personnel administration, including onboarding activities and managing timesheet submissions for Account staff.
- Assist with travel arrangements and associated invoicing requirements.
- Work with program and project managers to develop, update and maintain project schedules, ensuring alignment with workstream and program‑level timelines.
- Coordinate IWP schedules, tasks, and meeting updates, ensuring accurate and timely distribution of reports and information.
- Analyse and consolidate progress updates to support ongoing project tracking and reporting.
- Support and coordinate IWP meetings, including preparing agendas, drafting minutes, tracking action items, and arranging resources and logistics.
- Organise, review, and manage project documentation within appropriate data management systems, ensuring accuracy and version control.
- Assist with the preparation and management of reports, including review packs and weekly, monthly, and quarterly project status reports.
- Support CCP and WTO estimation compliance checks and associated administration tasks.
- Undertake general administrative duties and other tasks as required to support project outcomes.
What You’ll Bring:
- A current Defence Baseline Security Clearance (or the ability to obtain and maintain one).
- Relevant qualifications and demonstrated experience in project management and administrative support.
- A strong understanding of project management principles, including project finances, scheduling, progress tracking and status reporting.
- At least 2 years’ experience in a coordination or administrative role within a project‑driven, technical or engineering-focused environment.
- Excellent organisational and interpersonal skills, with the ability to manage competing priorities in a fast‑paced setting.
- High attention to detail, a proactive mindset and the ability to work with autonomy while maintaining accuracy and timeliness.
- Strong written and verbal communication skills, enabling effective engagement with stakeholders at all levels.
- Proficiency in Microsoft Office, particularly MS Excel, and the ability to quickly learn and adapt to new software and project tools.
- (Desirable) Previous experience working within the Defence sector or Defence‑related industry.
Due to the nature of Defence work, applicants must be Australian citizens and hold an active NV1 security clearance.
