Administration Officer – Full-Time, Fixed Term (Bentley, until March 2026, 8:00am-4:00pm Monday to Friday)

Juniper Retirement Living is seeking a highly organised and customer-focused Administration Officer to provide essential support across our Bentley retirement village operations. This pivotal role offers a dynamic blend of administrative, finance, procurement, and operational tasks—perfect for someone who enjoys working across varied responsibilities in a people-centric environment.

You'll play a key part in ensuring our day-to-day functions run smoothly, delivering exceptional service to residents, colleagues, and stakeholders. With your eye for detail and proactive approach, you'll help streamline processes, maintain accurate records, and contribute to the welcoming and well-functioning atmosphere that Juniper is known for.

Your Key Responsibilities:

  • Welcome and assist residents, families, and guests with professionalism and empathy.
  • Handle resident enquiries, feedback, and support service coordination.
  • Maintain resident files, tenancy agreements, and other administrative records in compliance with regulations.
  • Prepare reports and support audits as needed.
  • Assist with invoicing queries and EFTPOS payments.
  • Manage purchasing processes for supplies and services, ensuring timely orders and cost efficiency.
  • Schedule and log maintenance requests and contractor visits.
  • Track assets, report building issues, and ensure communal areas are well maintained.
  • Uphold workplace health and safety standards through accurate documentation and reporting.
  • Support compliance with Juniper’s policies and applicable legislation.
  • Distribute notices, newsletters, and updates to residents and stakeholders.
  • Schedule meetings, community activities, and facility bookings.
  • Coordinate with Villages Manager, Retirement Living Co-coordinator, Contract Staff and other departments to support seamless operations. 
  • Contribute to process improvements that enhance service delivery.
  • Oversee document control systems, including formatting, distributing, printing, laminating, and scanning site materials
  • Support financial reporting activities, including monthly reconciliations and procurement tracking

What You'll Bring:

  • Demonstrated experience in administration, preferably in aged care or a busy service environment
  • Proficiency with systems such as Epicor, ARMS, and Microsoft Office
  • Excellent multitasking skills and keen attention to detail
  • Professional, respectful communication and confident frontline service
  • Strong teamwork and problem-solving approach
