Your Role:

As an Administration Officer, you will be responsible for reception duties, filing, data entry, record keeping, and a range of general administrative tasks, all while fostering a welcoming and respectful environment. You will engage with staff, residents, their families, and visitors, offering assistance and ensuring a positive experience. A friendly, patient, and adaptable attitude is essential, along with the ability to manage interruptions smoothly and maintain a professional and approachable demeanor at all times.

The successful candidate must be available to work Monday to Friday from 8:30am to 4:30pm.

Key Responsibilities:

  • Serve as the first point of contact for incoming calls and visitors to the site.
  • Coordinate admissions, discharges, resident records, correspondence, filing, and documentation management
  • Manage staff rostering for both the Residential Care Facility (RCF) and Transitional Care Program (TCP)
  • Perform general administrative tasks, including filing, data entry, word processing, minute-taking, processing leave.
  • Assist with staff onboarding administration, ID cards, records management, and site coordination activities.
  • Advanced computer skills, including Microsoft Outlook, Word, Excel, Teams, and the ability to quickly learn new systems.

Key Requirements:

  • Experience in the aged care sector is highly desirable.
  • Certificate III or IV in Business Administration, Business Management, or a related field.
  • Effective time management skills and an understanding of the importance of meeting deadlines.
  • Excellent presentation.
  • Proven ability to collaborate effectively in a team environment
  • Professional, confident, and clear communication skills
  • Dependable, punctual, and consistently reliable
