Are you ready to be the cornerstone of our Development Team and make an impact? We're on the lookout for a dedicated Development Co-ordinator to support our Group Executive & Head of Developments with their day-to-day tasks and supporting a small team of development mangers.  As part of this role, you'll be the driving force behind the scenes, ensuring smooth operations and providing top-notch administrative support. From scheduling meetings to managing correspondence, your organisational skills will be key in keeping everything running like clockwork.

Key Responsibilities:

  • Raise purchase orders.
  • Reconcile Investa’s Corporate Visa Cards on monthly basis.
  • Coordinate both domestic and international travel arrangements (including flights, accommodation, and transfers) and appointments.
  • Positive stakeholder management and engagement, both internal business units and externals.
  • Coordinate individual and group (including national) meetings as required.
  • Provide Executive Assistance to Head of Development; provide Team Assistance support to Development Team.
  • Pro-active effective diary and contact management.
  • Reconcile invoices, prepare and submit expense claims on behalf of Development Team.
  • Organise Team events.
  • Booking training and conference events for Development Team.
  • Taking minutes during meetings.
  • Organise catering for meetings.
  • Facilitate preparation of funding requests and supporting documentation.
  • Manage the process for document execution for consultant agreements, contracts, confidentiality deeds and other documents for sign off.
  • Project budget tracking and data capture for projects.
  • Coordination of site tours.
  • Assist the Development Team and Marketing Team with awards submission for completed projects and bid submissions for new business projects.

Qualifications & Experience:

  • Minimum of HSC or equivalent.
  • Minimum of 4 years’ experience in a Personal/Executive Assistant role at Senior Level.
  • Experience in a Real Estate/Property Company (advantageous).
  • Previous experience using Voyager (highly desirable but not essential)
  • Demonstrated experience in a similar role within the property industry (highly desirable)

Skills:

  • Intermediate to advanced Microsoft Office skills in (Word, Excel, PowerPoint and Outlook)
  • Strong accuracy and excellent attention to detail.
  • Outstanding organisational and communication skills.
  • Ability to prioritise and manage time effectively, including prioritising team workload requests.
  • Ability to operate autonomously or within a team.
  • Excellent verbal and written communication skills.
  • Good problem-solving skills – solution seeking.
  • Good business acumen.
  • Good influencing skills.
