Customer Service Associate

The Customer Service Associate supports the customer service and sales team in various administrative functions essential for everyday operations.

Responsibilities (but not limited to):

  • Responding to customer correspondence and sends out notifications.
  • Take and records customer facsimile, EDI, email and mail orders.
  • Key enters and records freight rates to provide Freight Report and charge customers.
  • Distributes customer invoices.
  • Scan and email all customer invoices
  • Obtain all necessary documents to adjust necessary debits and credits as per accounts receivables group.
  • Co-ordinate and monitor inventory transfers to third-party warehouse.
  • Back up reception telephone/switchboard when necessary.
  • Liaises with other departments.
  • Performs administrative functions to executive team as necessary.
  • Follows safety procedures in the workplace; must attend and participate in all department safety meetings and training sessions.
  • Performs other duties as required.

Experience

  • 3-5 years working in an office environment.
  • Working on different software programs.

Education

  • College graduate from a recognized educational institution.

Competencies

  • Numeracy and literacy to ensure accuracy of quotes.
  • Excellent oral and communication skills including polite telephone manner.
  • Able to meet deadlines.
  • Well organized with the ability to prioritize and multitask.
  • Possess sound judgement, discretion and preserve confidentiality.
  • Able to work with others and willing to contribute to the team.
  • Pay attention to detail.

Technical Skills

  • Microsoft Office with exceptional Excel skills.
  • Ability to learn new software programs in a timely manner.
