Our client, a Canadian multinational energy transportation company with a focus on the transportation, distribution and generation of energy, has an immediate need for a Contract Specialist. This is a contract position for eight (8) months. the position is to be based out Calgary, Alberta.

The Contract Specialist (CS) is accountable for the day-to-day conformance responsibilities for all executed contractual arrangements of assigned GTM Operations in CA/US. The CS manages the flow of documentation & communication related to the contractual relationship between Company & Contractor to ensure contractual obligations are met. The CS facilitates the timely identification, communication & resolution of contractual matters. The CS interacts frequently with third parties as well as in-house key stakeholders including The Business, Legal, Project Management, SCM, Category Management & other functional groups. The CS reports directly to the GTM Manager unless directed otherwise 

 Responsibilities: 

  • Demonstrate understanding of & compliance with Project Execution contracting strategy
  • Facilitate preparation of contract exhibits, which include scope, specifications, pricing, & special instructions
  • Assist in writing technical contract language describing the scope, pricing, & special instructions for each assigned project 
  • Coordinate with the contract management group specialist to ensure project specific functional requirements & contractor clarifications & qualifications (when applicable) are incorporated in the final contract documents
  • Support project management in contractor contract negotiations during the contract bidding & formation phases
  • Review documents submitted by contractors for compliance with contract & provide notification to contractors of non-compliance & deviations from baselines, with concurrence of team and project manager
  • Maintain contractor correspondence & documentation logs
  • Prepare& transmit in a timely fashion company generated correspondence, with concurrence of project team functional lead, construction manager & project manager
  • Manage change order process, which includes managing change order log, generating change directives, reviewing contractor requested changes, & preparing approved change orders
  • Prepare meeting agenda, participate in person at, & take & distribute meeting notes for, all contract-related meetings between company and contractor 
  • Establish & implement project contract document control and retention system in compliance with company procedures
  • Review contractor submitted invoices for compliance with the requirements; distribute for review & approval by the appropriate personnel; and monitor through payment to the contractor
  • Coordinate with project team, as required, in resolution of contractual issues as they arise
  • Request, monitor & track service request orders (SRO) for project outside services providers throughout the project duration
  • Coordinate contract close-out with project team to ensure strict compliance with the related contracts
  • Close out project contract files & submit for retention in compliance with Company procedures 
  • Prepare for & provide assistance during company and external compliance audits 
  • Ongoing communication with stakeholders regarding project’s contractual requirements, practices &issues, including providing weekly status updates

  • Demonstrated ability to proactively & effectively solve problems by using analytical skills to take corrective action before they become crises
  • Demonstrated proficiency working with office computer applications such as Microsoft Office

 Basic/ Minimum Qualifications:  

  • Bachelor Degree (Business, Supply Chain, Sourcing or related Degree) minimum 
  • 7+ years of relevant experience(Draft contract verbiage, Negotiates, Implements, Amends)  
  • Specific knowledge & experience in contracting process & issues related to energy industry construction projects
  • Fundamental understanding of intent, context purpose & utilization of all documents typically included in or required by a contract
  • Customer Relationship Management (CRM), Document Management, Contract Negotiation  
  • Three (3) to five (5) years of progressive business or legal experience related to role;  
  • Proficiency with MS Office Word Excel, PowerPoint
  • Proficiency with Power Advocate, ECMS, ARIBA, Oracle & ability to learn other IT systems
  • Proven communication interpersonal & presentation skills, with influencing & persuasive talents 
  • Enrollment in the Supply Chain Management Professional (SCMP) / Certified Professional in Supply Management (CPSM) designation program or equivalent is an asset; 
  • Must have experience with SAP MM Experience with Oracle is an asset
