About the role:

As an Executive Assistant your role provides day to day assistance and support to two Group Executives in four key areas: diary and calendar management, preparation of board reporting, information management, record keeping and operational reporting and project support. This role will also work as part of the EA team to support the CEO office and other Group Executives when required.

Key Responsibilities:

  • Acting as the central point for the Group Executives, creating an environment in which the GE’s office is approachable, professional, and highly effective
  • Managing all requests for the GEs including management of appointments, active management of the day to day running of the department, deliverable tasks and administration, prioritisation of all internal and external communications and direct enquiries
  • Responding to information requests from stakeholders both inside and outside the business, including processing invoices, ordering digital cab changes and coordinating responses on a wide variety of critical business documents
  • Management of the GEs Outlook into calendar and inbox
  • Assist with the organisation of meetings for the GEs and taking minutes where required
  • Preparing correspondence and responses for the GE’s signature working as needed with the leadership team
  • Preparation and distribution of papers for Board Meetings and Committee Meetings
  • Maintain filing system and records management on behalf of the GEs
  • Provide assistance with budget tracking
  • Reception relief where required, for example over lunchtime periods, and during planned and unplanned absences of the receptionist

About you:

  • You will have demonstrated experience as an EA to a Senior Executive and ideally within the financial services industry
  • Ability to multitask and prioritise tasks with strong attention to detail
  • Well-developed organisational skills and exceptional time management skills
  • Great verbal and written communication skills
  • Professional discretion and maintain confidentiality
  • Strong rapport building skills with the ability to develop relationships at all levels of the organisation and with external stakeholders
  • Proven ability to work proactively and independently and to self-direct work with the ability to manage ambiguity and to make sound judgments
  • A proactive, enthusiastic team player with a result and deadline-oriented focus
  • Willingness to undertake a wide range of tasks to ensure achievement of required results
  • Advanced computer skills, using MS Office applications, specifically Word, Excel, PowerPoint, and Outlook, as well as use of technology
