About the role

We’re looking for a proactive and organised Clinic & Campus Administrator to support the daily operations of our on-campus Wellness Clinics and broader campus activities. This is a diverse, student-facing role that plays a key part in the smooth running of our clinics and in delivering an outstanding student and client experience.

You’ll be responsible for clinic reception duties, student and staff training, financial administration, client communications, and supporting the local campus environment. No two days are the same—this role is perfect for someone who enjoys variety, collaboration, and making a meaningful impact on both student learning and community wellbeing.

This is a permanent, full-time position based in Southport, Queensland. While it is primarily Monday to Friday, the role may occasionally require availability for Open Day events (up to three per year) on Saturday mornings.

Key Responsibilities

  • Coordinate clinic reception and dispensary operations including bookings, payments, and customer service.
  • Deliver student and staff clinic orientations and ongoing training in clinic procedures and software systems.
  • Assist students in developing front-of-house and client management skills.
  • Support student compliance and onboarding (e.g. first aid certificates, uniforms, pre-clinic readiness).
  • Manage clinic communications with clients including appointment confirmations, follow-ups, and promotions.
  • Monitor stock levels, assist with monthly stock takes, and support financial reporting.
  • Contribute to campus engagement activities and ensure a welcoming environment for all students and visitors.
  • Maintain WHS and compliance standards in the clinic and campus space.

What you'll bring

  • Previous experience in an administrative or customer-facing role, ideally in a clinic, education, or healthcare setting
  • Strong communication and interpersonal skills with a genuine passion for helping others
  • Confident using digital systems and able to pick up new platforms quickly (experience with booking or CRM systems a plus)
  • Great time management, with the ability to prioritise and adapt in a busy environment
  • A proactive mindset and the ability to work independently as well as part of a team
  • A positive, professional attitude and a commitment to creating a supportive and inclusive environment
