Job Overview:
- This role serves as the key interface between the Project and Delivery Teams, ensuring seamless coordination, communication, and execution across the program. The position is responsible for managing integrated plans, identifying scheduling and resource conflicts, facilitating governance processes, and providing accurate, timely reporting to program leadership and stakeholders.
Key Responsibilities:
- Facilitate regular reviews of the integrated program plan and manage change control processes.
- Work closely with team leads to ensure plans remain current and aligned with defined timelines.
- Assist in the creation and maintenance of detailed program and project plans.
- Identify and document products, activities, milestones, dependencies, and critical paths.
- Support the identification, scheduling, and forward planning of resources across teams.
- Identify planning-related risks and support mitigation strategies.
- Use the program plan to identify, manage, and forecast forward resource requirements.
- Liaise with program and delivery teams to communicate scheduling opportunities, constraints, and dependencies.
- Track delivery against plan and highlight variances, risks, and corrective actions.
- Produce management reports on progress against plan, both per team and across the overall program.
- Provide timely and accurate milestone and delivery status reporting to the Program Lead and key stakeholders.
- Ensure project and program reporting cycles are consistently adhered to.
- Assist in preparing materials for team meetings, governance forums, and Steering Board reviews.
- Release and track supporting agreements, actions, and decisions arising from governance meetings.
- Collate, manage, update, and critically review program-level risks and issues.
- Produce periodic assessments of process maturity, cost efficiency, and delivery effectiveness.
- Utilize appropriate tools, templates, and methodologies to support program delivery.
- Ensure correct tools and standard templates are consistently used across all documentation.
- Support effective syndication of information across the program team and relevant group-wide stakeholders.
- Ensure project, program, and portfolio documentation is correctly stored, accessible, and up to date.
- Ensure Project Managers are aware of documentation storage locations and standards.
- Maintain governance over document structure, version control, and compliance.
- Work closely with the PMO Manager to support the smooth and effective delivery of the overall program.
- Act as a trusted coordination point between delivery teams, program leadership, and stakeholders.
Qualifications
- 4–7 years of relevant experience in program management, project coordination, PMO, or planning roles.
- Strong experience with integrated planning, scheduling, and reporting in complex delivery environments.
- Proficiency with program/project management tools and methodologies.
- Excellent communication, coordination, and stakeholder management skills.
- Strong attention to detail, organizational, and analytical capabilities.
