About the Role:

The Receptionist plays a crucial role in ensuring the smooth operation of office administration and customer service functions. This position requires a proactive individual who can manage multiple tasks efficiently while maintaining a professional demeanor. The coordinator will be responsible for a variety of administrative duties, including visitor management, vendor coordination, and support for real estate and workplace services.

Key Responsibilities:

  • Answer phones and manage visitor interactions professionally.
  • Issue photo ID badges and upload pictures to WorkDay.
  • Handle name plate requests and input location information in WorkDay.
  • Action invoices and Service Now tickets for Workplace Services.
  • Manage Elink, SharePoint, Service Now, and email response activities.
  • Assist with room bookings, catering requests, and stationery supply orders.
  • Manage vendor relationships and coordinate large and weekly moves, additions, and changes.
  • Provide back-up coverage for other Workplace Services team members.
  • Participate in projects such as Environment Health & Safety initiatives and sustainability programs.
  • Cross-train with other Navigators and Workplace Services Coordinators.
  • Manage parking and access card systems.
  • Perform gatekeeper responsibilities to protect office staff and maintain confidentiality.
  • Perform duties as required by the Supervisor/Team Lead, including business card reviews, Iron Mountain liaison, drafting communications, and entering work orders.

Qualifications:

  • Strong relationship and interpersonal skills, adaptability, flexibility, and customer service orientation.
  • 1-3 years of experience in office administration or customer service roles.
  • Ability to manage and prioritize multiple areas and issues effectively.
  • High energy and enthusiasm with a desire to provide exceptional customer service.
  • Demonstrated problem-solving skills and proficiency in Microsoft Office Suite (Word and Excel).
  • Ability to create innovative solutions to challenges and maintain confidentiality.
  • Strong communication skills, both written and verbal, in-person and on the telephone.
