Job Overview

The Administrative Assistant IV independently provides comprehensive administrative support for the Director and the director’s department. This role involves handling a wide range of administrative duties, tasks, and requests, anticipating needs or issues, and responding with urgency and professionalism. The position requires balancing competing priorities, maintaining composure under high-pressure demands, and handling sensitive information with confidentiality and discretion.

Key Responsibilities

  • Provide independent administrative support for the Director and the director’s department.
  • Handle a wide range of administrative duties, tasks, and requests, anticipating needs or issues and responding with urgency and professionalism.
  • Balance competing priorities and respond to high-pressure demands with composure, maintaining confidentiality and discretion in handling sensitive information.
  • Manage the calendar to ensure maximum time efficiency, anticipating and initiating appropriate actions as required. Proactively identify priority engagements and support.
  • Coordinate and arrange complex meetings, conferences, and functions, including communication with internal and/or external executives, vendors, stakeholders, and leaders. Arrange any hospitality requirements.
  • Coordinate with other administrative professionals to ensure alignment of priorities and engagements across PCSLD and with business functions external to PCSLD.
  • Produce and assist with various documents/presentations using applications such as PowerPoint, Word, and Excel. Maintain a repository of documents for the PCSLD Management using SharePoint, Teams, and other central information repositories and tools.
  • Participate in leadership meetings, capturing meeting notes, action items, and key decisions. Proactively follow up on action items to ensure completion by the due date.
  • Coordinate travel arrangements, including proactive response to schedule changes and updates.
  • Submit and track requests for the team via the MyService system to support activities such as onboarding & off-boarding, office moves, and similar tasks.
  • Manage time entry and maintenance of vacation schedules.
  • Submit and administer expense reports.
  • Ensure completion of time-sensitive actions such as Statement on Business Conduct acknowledgments, SOX/CSOX audit requirements, etc.
  • Provide area-specific knowledge and technical department support.

Qualifications

  • Relevant education and a minimum of 5 years of experience in the administrative field supporting executive-level leaders, or an equivalent combination of education and experience.
  • Proficiency with the Microsoft Office Suite, SharePoint, Internet navigation, email, and general computer use.
  • Strong interpersonal and communication skills.
  • Exceptional organization and planning skills.
  • Ability to learn tasks quickly and become efficient in a short period of time.
  • Self-starter with a demonstrated sense of urgency. Proactive and self-motivated.
  • Excellent time management skills and the ability to prioritize competing demands.
  • Ability to perform work with constant interruptions.
  • Ability to handle confidential material and demonstrate an appropriate level of discretion.
  • Creative problem solver with the ability to retain composure in high-pressure situations.
  • Previous experience supporting C-suite level executives or equivalent.
  • Previous experience in an IT department, Oil & Gas organization, or with the client.
  • Working Conditions
  • Large corporate office environment.
  • Necessary to meet tight deadlines.
  • Ability to manage a variety of tasks concurrently.
  • Ability to work with a large group.
  • May be subject to extended hours to accommodate leaders' schedules.
