About the Role:

We are seeking a detail-oriented and proactive Senior Administrative Assistant to independently provide administrative support for our TIS Executive Management Team, which includes Vice Presidents and Senior Vice Presidents. The successful candidate will efficiently handle a wide spectrum of administrative tasks and requests, exhibit foresight in anticipating needs, and respond with urgency and professionalism.

Key Responsibilities:

  • Independently provide administrative support for 2-3 TIS Executive Management Team members (VPs and up to SVP).
  • Handle diverse administrative duties, tasks, and requests, demonstrating professionalism and discretion, especially when managing confidential information.
  • Balance competing priorities and maintain composure under high-pressure demands.
  • Efficiently manage calendars to optimize the executives' time, anticipating and initiating required actions.
  • Coordinate complex meetings, conferences, and functions, including necessary hospitality arrangements, and communicate with internal/external executives, vendors, stakeholders, and leaders.
  • Collaborate with other executive administrative professionals to align priorities and engagements across TIS and related business functions.
  • Produce and assist with various documents and presentations using PowerPoint, Word, and Excel, while maintaining a repository of documents via SharePoint, Teams, and other central tools.
  • Participate in leadership meetings, capturing notes, action items, and decisions, and ensure proactive follow-up on action items.
  • Make travel arrangements and adjust to schedule changes as needed.
  • Submit and track team requests via MyService for activities such as onboarding, off-boarding, and office moves.
  • Maintain time entry and vacation schedules.
  • Administer expense reports and ensure timely completion of actions like Statement on Business Conduct acknowledgements and audit requirements.
  • Provide area-specific knowledge and display technical adeptness.

Qualifications:

Must-Have:

  • Relevant education and at least 5 years of experience in the administrative field supporting executive-level leaders or an equivalent combination.
  • Proficiency in Microsoft Office Suite, SharePoint, Internet navigation, email, and general computer use.
  • Strong interpersonal and communication skills, with exceptional organization, planning, and time management abilities.
  • Ability to learn quickly, prioritize effectively, and work efficiently in a high-interruption environment.
  • Demonstrated initiative, urgency, and the capacity to handle confidential material with integrity.
  • Creative problem-solving skills and the ability to maintain composure in high-pressure situations.

Nice-to-Have:

  • Experience supporting C-suite executives.
  • Experience in an IT department, the oil & gas industry, or with Enbridge.

Working Conditions:

  • Operate within a large corporate office environment.
  • Manage tight deadlines and a variety of concurrent tasks.
  • Work collaboratively with a large group, potentially extend hours to accommodate executive schedules.
