About the Role:
- This role is responsible for managing and ensuring the timely delivery of equipment and materials for Purchase Orders (POs), contracts, and projects. The Expeditor plays a critical role in coordinating procurement activities, mitigating risks, and ensuring materials reach their final destination in alignment with project schedules.
- Success in this role requires a highly organized, detail-oriented professional who can effectively manage multiple priorities, build strong relationships with stakeholders, and proactively resolve issues. Strong communication, coordination, and problem-solving skills are essential.
Job Overview:
- The Expeditor is accountable for facilitating all expediting and logistics activities related to equipment and materials required for projects. This includes managing workflows, coordinating with vendors and internal teams, and identifying and mitigating potential risks to delivery timelines.
- The role requires consistent engagement with stakeholders across engineering, operations, supply chain, and external vendors to ensure smooth execution and alignment with project objectives.
Key Responsibilities:
- Manage assigned equipment and materials to ensure on-time readiness and delivery aligned with project and construction schedules
- Proactively track order status, identify risks, and implement mitigation strategies
- Coordinate with suppliers to obtain accurate updates on production progress, delivery timelines, and potential delays
- Build and maintain strong working relationships with:
- Vendors and suppliers
- Engineering teams
- Project managers and contractors
- Quality and SCM teams
- Schedule, chair, and document vendor meetings to track progress and resolve issues
- Participate in project meetings and provide updates as required
- Manage and track all vendor documentation, ensuring completeness and timely approvals, including:
- Drawings
- RFIs (Requests for Information)
- Inspection Test Plans (ITPs)
- Weld Procedure Specifications (WPS)
- Vendor Data Requirements (VDR)
- Maintain accurate and up-to-date records for all procurement and expediting activities
- Ensure proper documentation for PO/contract closeout
- Monitor vendor fabrication schedules, inspection reports, and key milestones
- Identify potential delays and communicate risks to stakeholders promptly
- Collaborate with vendors and internal teams to resolve:
- Delivery delays
- Quantity discrepancies (shortages/overages)
- Shipment errors
- Tagging issues
- Oversee logistics activities, including coordination with freight forwarders and transportation providers
- Manage international shipments, ensuring:
- Proper documentation
- Customs clearance compliance
- Support logistics file and system management
- Provide regular status updates on equipment and material progress using standard reporting formats
- Communicate potential technical and commercial issues to project stakeholders
- Assist in invoice review and verification for accuracy
- Follow standardized processes and systems for expediting tasks
- Maintain organized electronic records and expediting files
- Regularly update and report progress to the Supervisor
Required Qualifications:
- Bachelor’s degree in Supply Chain Management, Business Administration, or a related field OR 3–5 years of relevant supply chain experience with a focus on expediting
- Proven experience in an Expeditor or similar procurement role
- Strong understanding of purchasing processes, including:
- Order placement
- Tracking
- Delivery coordination
- Proficiency in procurement systems and tools
- Advanced skills in Microsoft Office Suite, especially Excel
- Strong analytical, problem-solving, and decision-making abilities
- Ability to work independently and within a team in a fast-paced environment
Required Skills:
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with the ability to build and maintain relationships with suppliers and internal stakeholders.
- Attention to detail and accuracy in order tracking and documentation.
- Proactive problem-solving abilities and the capacity to work well under pressure.
- Proficiency in using procurement software and systems.
- Knowledge of procurement and supply chain management principles and practices.
- Ability to analyze data and make informed decisions
