About the Role:

We are seeking a highly organized and proactive Administrative Assistant to provide dedicated support to a small group of senior leaders. This role is crucial in handling a variety of administrative tasks to ensure smooth day-to-day operations. If you are detail-oriented, tech-savvy, and thrive in a fast-paced project environment, we want to hear from you!

Key Responsibilities:

  • Manage calendars, schedule meetings, and handle calendar invites for senior leaders.
  • Coordinate travel arrangements, including flights and hotel bookings.
  • Prepare and manage expense reports.
  • Oversee onboarding for employees and contractors within the senior leadership group.
  • Communicate effectively with internal stakeholders, clients, and colleagues using judgment and initiative.
  • Provide general administrative support to the senior leaders and the IT team, including coordinating meetings and special events.

Qualifications:

  • Administrative certification or equivalent experience, including business communications.
  • Minimum of 3 years of progressively responsible experience in management support.
  • Strong communication and influence skills.
  • Excellent interpersonal skills with the ability to collaborate with diverse work styles.
  • Proficiency in Microsoft Office Suite, SharePoint, and enterprise structures; advanced computer skills.
  • High level of discretion, tact, and diplomacy in handling confidential or sensitive information.
  • Strong organizational skills with the ability to prioritize tasks in a fast-paced environment.
  • Ability to suggest improvements to systems and processes.

  • Strong attention to detail and accuracy.
  • Initiative and decision-making skills within the scope of responsibility.
  • Strong team player who collaborates well with others and incorporates diverse input.
  • Experience working with global teams.
  • Strong analytical and problem-solving skills, with the ability to communicate clearly and evaluate information effectively.
