Job Overview:

This position provides a broad range of basic to complex administrative support functions to the Regional Director, Manager, Supervisors, and Technicians. The focus is on thoroughly learning the business area, anticipating the needs of those supported, and striving to meet those needs proactively. This role supports the Gulf Coast Transmission (GCT) Region, provides backup administrative support as required, and performs administrative and office support to ensure efficient business operations.

Key Responsibilities:

  • Independently provide support for the Gulf Coast Region employees.
  • Manage calendar and workday to ensure maximum time efficiency, anticipating and initiating appropriate actions.
  • Produce and assist with PowerPoint, Word, and Excel documents.
  • Utilize Power BI to track completion of business processes.
  • Coordinate travel arrangements and department calendars, including vacation/out of office and other staffing reports.
  • Submit and administer expense reports.
  • Coordinate meetings with internal and external representatives, including hospitality and catering arrangements.
  • Provide administrative support for recruitment activities; liaise between HR and management for on-boarding/off-boarding.
  • Coordinate with external vendors to process invoices and manage purchase orders.
  • Manage regional regulatory fleet information.
  • Coordinate, create, and maintain electronic files and team sites in SharePoint.
  • Coordinate team events, receptions, and celebrations.
  • Purchase, receive, and store office supplies and services.
  • Assist Supervisors and HR with timesheet issues.
  • Enter ServiceNow requests for technology and facility support services.
  • Perform other duties as assigned.

Qualifications:

  • Relevant education and a minimum of 2 years’ experience in the administrative field, or an equivalent combination of education and experience.
  • Strong interpersonal and communication skills.
  • Ability to learn tasks quickly and become efficient in a short period.
  • Ability to handle confidential material appropriately.
  • Proactive, self-motivated, and able to multitask with attention to detail.
  • Positive attitude with a high level of professionalism.
  • Excellent organizational skills.
  • Strong computer skills with proficiency in MS Office Products, SharePoint, Internet navigation, email, and general computer use.

Preferred:

  • A university degree is desirable.
  • Proven proficiency in Oracle Financial Applications and Workday applications.

Working Conditions:

  • Office setting with routine handling of sensitive or confidential information.
  • High volume of work requiring proactive planning and frequent reprioritization.
  • Necessary to meet tight deadlines and work with a large group.
  • May require extended hours to accommodate leader’s schedule.
  • Rare, but occasional travel required.
