About the Role:
Join our dynamic Supply Chain team as a Supply Chain Expeditor, where you will play a crucial role in expediting and tracking all aspects of deliverables for assigned items. These items may include equipment and materials required for the completion of Purchase Orders, Contracts, or Projects. Your proactive approach will involve managing stakeholder meetings, utilizing systems and templates, and identifying potential risks to ensure timely delivery.
Key Responsibilities:
- Proactively expedite assigned items by managing stakeholder meetings and utilizing systems, templates, and processes.
- Build and maintain strong relationships with stakeholders, including vendors and key client groups such as engineering, project team members, and contractors.
- Coach and mentor new hires, project team personnel, and new vendors on the current expediting process.
- Manage assigned equipment/material logistics to ensure on-time readiness and delivery in line with project schedules.
- Oversee vendor equipment/material documentation logistics to ensure prompt review and approval.
- Regularly review vendor fabrication schedules and pertinent data to mitigate delays.
- Notify stakeholders of potential or actual delays and work with suppliers to resolve issues.
- Schedule, chair, and manage vendor supply meetings and attend project meetings as required.
- Report on equipment/material status and progress using required reporting formats.
- Assist in reviewing and verifying invoices for accuracy.
- Resolve freight claims, investigate quantity discrepancies, and address shipment errors.
- Communicate potential commercial and technical issues to project team members and stakeholders.
- Coordinate logistics for delivery of equipment/material to site and ensure readiness for off-loading.
- Maintain updated electronic records for timely completion of PO/Contract closeouts.
- Consult and report regularly with Team Lead and/or Manager on project progress.
Collaboration:
- Work closely with Sr Expeditors, Supervisors, and Team Managers for guidance and direction.
- Provide regular updates and support to vendors and internal/external clients, including engineering, consultants, contractors, and other SCM team members.
Required Qualifications:
- Minimum 5-7 years of experience in a high-paced environment.
- Strong knowledge of expediting best practices and understanding of logistics, purchasing, and project document requirements.
- Excellent interpersonal skills with the ability to build strong working relationships.
- Proven coordination skills, ability to multi-task, and manage timelines.
- Strong customer service, problem-solving, and organizational skills.
- Working knowledge of engineering and vendor documentation.
- Strong communication skills and attention to detail.
Preferred Qualifications:
- Proficiency in MS Windows/Outlook and Office Suite.
- Knowledge of SharePoint, Oracle Cloud, and Salesforce is an asset.
- Post-secondary education in a related field (e.g., Project Management, Supply Chain Management, Business Administration).
Work Environment:
- Office environment with occasional travel to suppliers and other operation locations as required.
