About the Role:

We are seeking an Administrative Assistant to play a pivotal role in supporting the smooth operation of our regional office through proactive administration, communication, and coordination. This position requires a highly organized, tech-savvy professional who thrives in a fast-paced environment and is comfortable navigating multiple internal systems.

Key Responsibilities:

Executive & Operational Support:

  • Manage calendars, travel arrangements, correspondence, and expense reports for the Operations Manager and Leadership Team.
  • Coordinate and organize internal and external meetings, including preparing invites, agendas, presentations, logistics, and follow-ups.
  • Serve as the liaison to maintain internal communication channels and connect with key external contacts.

Office & Facilities Management:

  • Handle telephone reception for regional office needs (internal and external).
  • Oversee office operations including mail handling, service contractor coordination, office supply orders, and building maintenance.
  • Ensure smooth daily functionality of the office in coordination with REWS and building services for repairs.

Regional Team Coordination:

  • Update and maintain distribution lists, phone directories, and SharePoint/Team sites.
  • Set up meeting logistics, including room setup, AV support, and refreshments.
  • Manage and rotate Duty Manager and Supervisor schedules.
  • Consolidate and distribute materials, reminders, and updates, such as SAP requirements.

Budget & Expense Administration:

  • Assist with SAP entries, centralized SRO tracking, and expense submissions for supervisory staff.
  • Process specific invoice payments.

Technical & Systems Support:

  • Handle SailPoint and system access requests.
  • Provide Power BI reporting and support for server issues and office equipment troubleshooting.
  • Manage service request orders and general clerical support.

Learning & Onboarding:

  • Manage Workday Learning Administration: edit offerings, pull reports, update ILT completions.
  • Support onboarding processes and administrative learning functions.

Community Investment & Stakeholder Engagement:

  • Provide quarterly spend updates and insights during regional leadership meetings.
  • Coordinate Project Zero and Project Assist submissions along with media announcements.
  • Support municipal advisors with community investment efforts and stakeholder coordination.

Additional Duties:

  • Engage in internal committees, projects, and initiatives as required.
  • Complete other administrative tasks as assigned.

Minimum Qualifications:

  • A minimum of 3 years experience in an administrative, executive assistant, or similar role.
  • Post-secondary education in Business Administration or a related field.
  • Quick learner with proven ability to navigate multiple internal systems (e.g., SAP, Workday, SailPoint, SharePoint, Power BI, MS Office Suite).
  • Strong organizational and time-management skills, with the capability of working independently.
  • Excellent communication and interpersonal skills for collaboration with cross-functional teams.
  • High attention to detail and accuracy in documentation and reporting.
  • Flexible and comfortable working both onsite and virtually across multiple locations, with travel within Northern Ontario once per month.
  • Critical thinking skills with effective decision-making abilities.
  • Professional discretion in handling sensitive information.
