About the Role:

Join our dynamic team as a Senior Administrative Specialist, where you will independently provide a broad range of administrative and specialized support services to a Vice President and their senior managerial team. This role is pivotal in ensuring the smooth operation of the executive office and supporting the achievement of business unit goals.

Key Responsibilities:

  • Act as the Vice President’s representative, managing their schedule, screening communications, and prioritizing tasks to optimize their time.
  • Business Metrics: Collate, analyze, and report on business metrics to support the business unit's objectives.
  • Coordinate and report on cyclical budget documents and processes, including annual and monthly budget reporting.
  • Provide professional support services to the VP’s peers, executive leadership team, and high-profile external stakeholders.
  • Manage corporate governance and compliance files, including SOX/CSOX audit requirements.
  • Organize complex meetings, conferences, and functions, developing detailed agendas and itineraries.
  • Coordinate travel bookings for the VP and managerial team.
  • Maintain team-specific documentation processes through data input, verification, and filing.
  • Draft complex correspondence, presentations, and spreadsheets.
  • Lead or participate in cross-business unit administrative committees or task forces and provide supervision to administrative staff.

Scope and Impact:

  • Provide independent administrative services, managing a wide range of tasks and requests.
  • Impact medium-sized work areas or business units, with potential implications beyond the immediate team.
  • Modify standard practices and adapt approaches based on past experiences.

Working Relationships:

  • Support a Vice President and a senior management team.
  • Act as the VP’s representative with senior staff internally and externally.
  • Communicate sensitive information with discretion and tact.

Qualifications:

  • Required:
  1. Administrative certification or equivalent experience.
  2. 5 years of directly related experience.
  3. Advanced knowledge of Microsoft Office Suite and applicable software.
  4. Ability to manage relationships at all levels, including supervision of staff.
  5. High level of discretion, tact, and diplomacy.
  • Preferred:
  1. Proficiency in Microsoft SharePoint and Teams platforms.

  • Physical Requirements: Grasping, kneeling, light-moderate lifting, reaching, repetitive motion, typing, sitting, standing, visual and hearing requirements.
  • Mental Requirements: Ability to understand and apply instructions, solve complex problems, organize and prioritize work, and communicate effectively.
