About the Role:
We are seeking a proactive and detail-oriented Material Coordinator to support our Supply Chain function. This role involves expediting and tracking all aspects and deliverables for assigned items, which may include equipment and materials required for the completion of Purchase Orders, Contracts, or Projects. The ideal candidate will build and maintain strong relationships with stakeholders, including vendors and key client groups, to ensure timely delivery and mitigate potential risks.
Key Responsibilities:
- Proactively expedite assigned items by managing stakeholder meetings, utilizing systems, templates, and processes to identify and mitigate potential risks.
- Build and maintain strong relationships with stakeholders, including vendors, engineering, project team members, contractors, quality, and other SCM team members.
- Coach and mentor new hires, project team personnel, and new vendors on the current expediting process.
- Manage assigned equipment/material logistics to ensure on-time readiness and delivery in line with project and construction schedules.
- Oversee vendor equipment/material documentation logistics between vendors, Engineering, and internal Project teams to ensure prompt review and approval.
- Regularly review vendor fabrication schedules, Inspection and Test Plans, and other pertinent data to mitigate delays.
- Notify stakeholders of potential or actual delays and work with suppliers to resolve issues.
- Schedule, chair, minute, and manage vendor supply meetings and attend project meetings as required.
- Report on equipment/material status, progress, and receiving status using required reporting formats.
- Assist in reviewing and verifying invoices for accuracy.
- Resolve freight claims, investigate quantity discrepancies, shipment errors, and tagging issues with vendors and stakeholders.
- Communicate potential commercial and technical issues to Project team members and stakeholders.
- Coordinate logistics for delivery of equipment/material to site and ensure readiness for off-loading.
- Follow standard processes to centralize expediting tasks and duties as directed by the team lead or Manager.
- Maintain updated electronic records for timely completion of PO/Contract closeouts.
- Consult and report regularly with Team Lead and/or Manager on project, PO, or contract activities.
Qualifications:
- Minimum 4-7 years of applied experience in a high-paced environment.
- Good working knowledge and experience in expediting best practices, logistics, purchasing, and project document requirements.
- Strong interpersonal skills with the ability to build and maintain strong working relationships.
- Equivalent combination of experience, training, and/or education.
- Excellent coordination skills, ability to multi-task, follow up, and manage timelines.
- Ability to work on diverse projects and processes with conflicting deadlines.
- Strong customer service, problem-solving, and organizational skills.
- Working knowledge of Engineering and Vendor Documentation.
- Strong and effective communication skills and attention to detail.
Preferred Qualifications:
- Knowledge of MS Windows/Outlook and Office Suite.
- Familiarity with SharePoint, Oracle Cloud, and Salesforce.
- Post-secondary education in a related field (e.g., Project Management, Purchasing/Supply Chain Management, B-Com, Finance, Business Administration).
