Description:
- The Records Clerk is responsible for performing clerical and administrative duties across key stages of the Records Lifecycle, including Capture, Storage, Management, and Maintenance of company records. This role supports accurate recordkeeping practices by handling records intake and inventory, data entry, indexing and scanning, offsite storage coordination, records requests, and continual enhancement of records-related metadata.
Key Responsibilities:
- Create and maintain comprehensive record inventories using SharePoint and/or Excel, including but not limited to:
- CDs
- Microfiche (reels and index cards)
- Boxes and binders
- Review, interpret, and identify appropriate record metadata for scanned images.
- Compare record documents across multiple sources to identify discrepancies, including duplicate analysis between physical and electronic records.
- Prepare and organize boxes for offsite records storage.
- Add and update box numbers in FRMS and generate accurate box reports.
- Maintain and update all project and task tracking logs as required.
- Assist with folder label creation and proper application to physical records.
- Perform quality assurance and quality control (QA/QC) checks on scanned images to ensure accuracy and completeness.
- Support special records-related initiatives, including:
- Data scrubbing
- Records request research and fulfillment
Qualifications:
- Proven experience as a Records Clerk or in a similar records management role.
- 5–10 years of experience in records management, filing, or document control.
- General knowledge of the Records Lifecycle, filing systems, retrieval processes, and retention requirements.
- Strong organizational skills with exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, etc.).
- Hands-on experience using SharePoint, including updating and maintaining SharePoint Lists (required).
- Familiarity with general office equipment, including copiers and scanning machines.
- Ability to lift and move items weighing up to 25 pounds.
- High school diploma or equivalent required.
- Knowledge of Pipeline or Facility Records Management is preferred.
