Job Overview

The Document Control Specialist is responsible for providing drawing control and document management support for internal and external stakeholders. This role supports the integrity, accessibility, and maintenance of engineering drawings and process safety information within the client’s drawing management systems. The position plays a critical role in ensuring engineering documentation is accurate, compliant, up to date, and readily available to support engineering, operations, maintenance, and project execution activities.

The ideal candidate is detail-oriented, highly organized, customer-focused, and experienced in document control, records management, and engineering drawing systems within a technical or industrial environment.

Key Responsibilities

  • Provide drawing control support and technical assistance to internal and external stakeholders using the drawing management system
  • Manage user access, permissions, and control processes within drawing management systems
  • Deliver training and support related to drawing management systems and document control processes
  • Resolve broken hybrid drawings by identifying and correcting CAD x-reference issues to restore full drawing functionality within Meridian
  • Update outdated drawing renditions (PDFs) by regenerating and publishing current versions aligned with approved master drawings
  • Identify and resolve discrepancies between master drawings, renditions, and metadata to improve drawing accuracy and data integrity
  • Support as-built consolidation and publishing activities by coordinating approved updates into master drawing records
  • Ensure final as-built drawings are completed, published, and accessible prior to project turnover and execution
  • Coordinate and fulfill drawing requests through BIM JIRA and Service Request tools
  • Support major project reviews and drawing control compliance activities in collaboration with project teams and subject matter experts
  • Track project review and turnover status throughout project phases including design, IFC, and as-built reviews
  • Provide guidance to users regarding workspace setup, project folder creation, and drawing management processes
  • Communicate regularly with internal customers, external vendors, engineering service providers, and drafting teams to resolve issues and support operational alignment
  • Assist in developing and delivering training materials and user guidance documentation for drawing management systems
  • Monitor and report on key performance indicators to support continuous improvement initiatives
  • Develop standard reports and support information requirements for drawing system users
  • Support the creation and improvement of work processes, procedures, written communications, and training materials related to engineering drawing management and process safety information
  • Collaborate with Asset Information Management (AIM), Process Safety Information (PSI), Facility Records, engineering, operations, maintenance, and project teams to ensure consistency and compliance with drawing control procedures

Qualifications

  • University degree, technical diploma, or equivalent combination of technical training and relevant drawing control experience
  • Minimum of 2 to 4 years of experience in document control, records management, or drawing management, preferably within engineering or construction environments
  • Post-secondary education or training in business analysis, records management, data analysis, or project management preferred
  • Strong understanding of document management systems and industry-standard document control processes
  • Ability to translate process safety information requirements into structured and systemized workflows
  • Strong organizational and customer service skills with the ability to manage multiple priorities effectively
  • Excellent interpersonal, written, and verbal communication skills
  • Strong analytical, problem-solving, and attention-to-detail capabilities
  • Ability to work independently and proactively with minimal supervision
  • Basic functional knowledge of drawing management systems
  • Experience using EDMSLink, BIM-JIRA, Microsoft Access, and Microsoft Excel
  • Basic drafting knowledge and drafting experience considered an asset
  • Experience with SharePoint 2013 and Bluebeam considered an asset
  • Ability to collaborate effectively with cross-functional teams, external vendors, and technical stakeholders
  • Commitment to maintaining accurate, compliant, and accessible engineering documentation and process safety information
