About the Role:

This role is pivotal in ensuring smooth operations within our office environment, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will be proactive, resourceful, and able to handle multiple tasks efficiently.

Key Responsibilities:

  • Answer phones and manage visitor interactions, ensuring a welcoming and professional experience.
  • Create and upload photo ID badges to WorkDay, and manage name plate requests and location information.
  • Process invoices and Service Now tickets related to Workplace Services.
  • Manage Elink, SharePoint, Service Now, and email responses. Act as a liaison for large and weekly moves, additions, and changes.
  • Assist the Real Estate and Workplace Services department with room bookings, catering requests, and stationery supply orders.
  • Provide back-up coverage for other Workplace Services team members and participate in cross-training.
  • Engage in projects such as Environment Health & Safety initiatives, sustainability programs, and other facility-related projects.
  • Handle difficult situations and clients calmly and professionally.
  • Oversee parking and access card management.
  • Screen visitors and callers to protect office staff and maintain confidentiality.
  • Perform additional tasks as required by the Supervisor or Team Lead, including business card reviews, Iron Mountain liaison, drafting communications, and entering work orders.

Qualifications:

  • 1-3 years in an office administration or customer service role.
  • Strong relationship and interpersonal skills, adaptability, flexibility, and a high level of customer service.
  •  Demonstrated ability to create innovative solutions to challenges.
  • Proficiency in Microsoft Office Suite (Word and Excel) is required.
  • Keen attention to detail and ability to maintain confidentiality.
  • Excellent written and verbal communication skills, both in-person and on the telephone.
  • Maintain the integrity of the company brand and protect the company’s reputation in all interactions.
