Job Overview:
We are seeking a highly organized and proactive Administrative Assistant to support Director-level leaders within our Commercial Strategy and Business Development team. This role is pivotal in ensuring the smooth operation of the department by managing schedules, coordinating meetings, and handling various administrative tasks.
Key Responsibilities:
- Executive Support:
- Anticipate and initiate actions to conserve the leader’s time.
- Manage schedules, screen emails and correspondence, and manage access.
- Book travel arrangements and complete expense reports.
- Budget Coordination:
- Consolidate, coordinate, and report on cyclical budget documents and processes, including annual and monthly budget reporting.
- Corporate Governance:
- Coordinate corporate governance and diligence compliance files/matters, such as annual Statement on Business Conduct acknowledgements and SOX audit requirements.
- Meeting and Event Coordination:
- Coordinate department meetings, functions, and critical administrative projects.
- Assist professional and technical staff with specific administrative needs, including drafting correspondence.
- General Administrative Duties:
- Provide vacation coverage for other administrative functions within the department.
- Manage electronic calendars, time entry, and set up new employees with equipment and office needs.
- Handle maintenance requests, order business cards, and arrange lunches.
- Team Support:
- Provide basic guidance to junior administrative staff and/or temporary staff/contractors.
- Additional Responsibilities:
- Flexible to perform other duties as assigned, such as project management, off-site meeting planning, and event planning.
Qualifications:
- Proven experience in an administrative role supporting senior leaders.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to handle sensitive information with discretion.
