Description:
The Clerk is responsible for ensuring company records are accurate, traceable, complete, and properly maintained throughout their lifecycle. This role supports records capture, storage, management, maintenance, and disposition by handling both physical and electronic records in compliance with company policies and confidentiality requirements. The position plays a critical role in maintaining organized, accessible, and compliant records systems.
Key Responsibilities:
General
- Adhere to company policies, procedures, and confidentiality requirements to safeguard sensitive company data and information.
- Receive, scan, and upload physical departmental documentation into the designated records repository.
- Track, record, and report records-related activities and progress as required.
- Actively participate in company core values initiatives and safety programs.
Task and Project Tracking
- Create, maintain, and update task and project tracking tools, primarily using Microsoft Excel and/or SharePoint lists.
- Assign and manage metadata for tracked items to enable progress monitoring and performance metrics.
- Prepare clear, professional written and visual status updates, including progress reports and identification of obstacles or risks to completion.
Records Lifecycle Management
- Organize, process, and file records in accordance with company standards across both electronic and physical filing systems.
- Index records by accurately entering required metadata into filing systems following established procedures.
- Apply approved naming conventions and nomenclature to all records.
- Coordinate with internal departments and offsite storage vendors to facilitate records transfers and retrievals.
Records Management/Usage
- Assist with researching records and fulfilling internal and external record requests.
- Perform record comparisons to verify accuracy, consistency, and completeness.
Records Maintenance/Disposition
- Conduct special records-related data scrubbing and cleanup activities as assigned.
- Under guidance from enterprise records personnel, comply with records retention schedules and disposition requirements.
Qualifications:
- High school diploma or equivalent required.
- 2–5 years of experience in records management, filing, or a records clerk role (preferred).
- General knowledge of the Records Lifecycle, including filing, retrieval, retention, and disposition practices.
Skills and Competencies:
- Strong organizational skills with exceptional attention to detail.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and SharePoint.
- Ability to use standard office equipment such as telephone systems, copiers, and scanning machines.
- Effective written communication skills for reporting and documentation.
Physical Requirements:
- Ability to lift and move up to 25 pounds as required.
