About the Role:
As an Administrative Coordinator in Power Operations, you will lead and coordinate administrative activities to ensure the consistency, quality, and timeliness of all correspondence, information, and documentation. You will support Senior Management with both recurring and ad-hoc issues, ensuring smooth operational efficiency.
Key Responsibilities:
- Coordinate administrative tasks and ensure the alignment of processes in Power Operations.
- Support Senior Management with their requirements and manage recurring and ad-hoc issues efficiently.
- Track, trace, and communicate invoices in the system, ensuring timely resolution and escalation of any issues.
- Ensure all invoices are processed accurately and promptly, maintaining strong relationships with suppliers to guarantee timely payments.
Additional Responsibilities:
- Perform routine and non-routine accounting activities in accounts payable or related financial areas.
- Process invoices for the Power Operations Group as required.
- Troubleshoot invoice issues in Oracle Cloud from initiation to payment disbursement.
- Use Excel to track workflows and ensure documentation integrity.
- Manage Outlook calendar scheduling, appointments, reminders, team meetings, and scheduling for others.
- Utilize Microsoft Teams for communication and meetings.
- Arrange travel for the Management Team and yourself using Microsoft Edge or Chrome.
Scope & Dimensions:
- Manage competing priorities and support VPs, Directors, and Managers as required.
- Maintain confidentiality of sensitive information at all times.
Qualifications:
- Minimum of 5 years of relevant experience.
- Outstanding communication and organization skills, both written and verbal, with exceptional attention to detail.
- Strong interpersonal and emotional intelligence skills.
- Preferred experience in a cloud environment, especially Oracle.
- Solution-oriented mindset with high adaptability and a service-oriented approach.
- Exposure to supply chain processes is an asset.
