About the role

As the Project Administration Assistant – Travel & Onboarding Coordinator, you will be responsible for coordinating workforce onboarding, managing travel and accommodation logistics, and ensuring all compliance requirements are met for employees, subcontractors, and visitors.

This is a highly organised and people-focused role suited to someone who thrives under pressure and enjoys working in a dynamic project environment.

Key Responsibilities:

• Coordinate end-to-end onboarding for employees, subcontractors, and visitors

• Manage site inductions, medicals, competencies, licences, and compliance documentation

• Book and coordinate flights, accommodation, and ground transport for FIFO/DIDO workforces

• Maintain mobilisation schedules aligned with project rosters and workforce demands

• Respond quickly to travel disruptions and last-minute changes

• Maintain accurate onboarding, training, and workforce records

• Support workforce mobilisation, ramp-ups, and demobilisation activities

• Liaise with project teams, HR, HSE, labour hire providers, and travel agencies

• Provide regular mobilisation and onboarding updates to project leadership

• Act as the first point of contact for onboarding and travel-related queries 


About you

Desirable experience:

• Previous experience in workforce mobilisation, onboarding, administration, or travel coordination

• Experience within mining, civil construction, or remote project environments highly regarded

• Strong organisational and scheduling skills with excellent attention to detail

• The ability to manage multiple priorities in a fast-paced environment

• Strong communication and stakeholder management skills

• A proactive, solution-focused approach and the ability to remain calm under pressure

Desirable Experience

• FIFO/DIDO workforce logistics experience

• Knowledge of mining or construction compliance requirements

• Experience using onboarding and travel systems such as INX or corporate travel platforms
