The Role
Are you an experienced executive support professional who thrives in a fast-paced, high-performing environment? We are seeking a highly organised and proactive Executive Coordinator to join the Environment, Parks and Sustainability Services Group Executive’s Office.
In this role, you will take primary responsibility for the end-to-end coordination and management of submissions and petitions processes across the Environment, Parks and Sustainability Services Group. This includes planning, reviewing and consolidating submissions, ensuring all content is accurate, complete and aligned with Council standards, policies and governance requirements. You will work closely with stakeholders, manage timelines and ensure all documentation progresses efficiently through required approval pathways.
A key focus of the role is the meticulous review and editing of submissions, petitions, reports, presentations and related correspondence to ensure clarity, consistency and a high standard of quality. You will also oversee the preparation and quality assurance of materials for the Environment, Parks and Sustainability Committee, and the Establishment and Coordination Committee, ensuring all documentation is compliant and submitted within strict deadlines. Through proactive workflow management and strong stakeholder engagement, you will ensure the submissions and petitions process operates seamlessly from initiation through to final approval.
What are we looking for?
We are seeking a highly organised and detail-driven professional who excels in managing complex processes from initiation through to completion, particularly within an executive support environment.
You will bring:
- demonstrated experience in executive coordination or senior administrative support
- high level ability to prioritise, manage and report on workflows and important issues in a complex and sensitive environment
- strong organisational skills and the ability to manage multiple priorities in a dynamic environment
- exceptional preparation, editing and proof reading of complex and extended written reports, correspondence, memoranda and minutes
- strong stakeholder engagement and relationship management skills, including the ability to liaise and negotiate with people at all levels, including the office of the Environment, Parks and Sustainability Chair
- a thorough understanding of Council structures, governance frameworks, committees and delegations.
