Our Branch

We provide full lifecycle management of fleet assets, helping Council to deliver services to the city of Brisbane.

Our fleet includes a large range of assets including but not limited to: cars, trucks, trailers, mobile lunchrooms, boats, excavators, road sweepers, forklifts, buggy's, pumps, generators, chainsaws, blowers, whipper snippers and mowers.

The Role

We are looking for a highly motivated and customer-focused Fleet Planning Officer to join our team.

In this role, you will be the first point of contact for Council’s internal fleet customers, delivering timely and effective operational services.

You will be responsible for managing customer inquiries, work order management, liaising with suppliers, and coordinating operational support activities to ensure smooth and efficient fleet operations.

Key responsibilities include managing telephone and booking inquiries, creating and proactively managing work orders, coordinating with external suppliers and schedulers to minimise fleet downtime, and preparing various reports, documentation, and correspondence.

You will also be expected to contribute to continuous improvement initiatives and develop efficient operational processes.

Key Accountabilities:

  • lead and role model customer-centric behaviour to ensure a positive customer experience
  • collaborate with your team leader to achieve performance standards and take personal responsibility for optimising your potential
  • efficiently manage customer telephone inquiries and bookings
  • provide proactive and reliable administrative services, including preparing documentation, spreadsheets, and reports
  • manage work orders, provide feedback to customers, and ensure timely completion of tasks
  • work with suppliers and schedulers to ensure parts and services are delivered on time, reducing fleet downtime
  • contribute to process improvement initiatives to enhance service delivery.

To be successful you will have:

  • demonstrated ability to work effectively within a team, contribute to team direction, and give and receive feedback to achieve performance excellence
  • proven experience in creating and managing work orders to completion, and familiarity with SAP or equivalent systems
  • strong background in providing high-quality support to operational areas, customers, and staff, with a proactive approach to problem resolution
  • excellent organisational and time management skills, with the ability to manage competing priorities and meet tight deadlines
  • well-developed communication and customer service skills, with the ability to engage with staff and customers at all levels and ensure satisfaction.

Desirable:

  • experience with invoicing and receipting using council systems
  • proficiency in software applications such as SAP, HP Records Manager, Microsoft Outlook, Excel, and Word
  • knowledge of fleet products and services, and the ability to advise staff, customers, and suppliers on related matters.
