Our Branch
The EPSS Group Executive’s Office (GEO) supports the Group Executive in leading Council’s Environment, Parks and Sustainability Services Group. The GEO provides strategic, governance and operational support, coordinates key executive initiatives and decision-making processes, and works closely with stakeholders across Council to deliver environmental, sustainability, waste and resilience outcomes that enhance Brisbane’s liveability.
The Role
As Executive Assistant, you will play a critical role in ensuring the smooth operation of the Group Executive's Office. You will coordinate executive priorities, manage complex workflows, provide high-level administrative support, and contribute to effective communication and engagement across the group.
This role requires sound judgement, critical thinking and strong organisational skills, with the ability to prioritise competing demands in a dynamic operational environment. Success in this role requires initiative, adaptability, excellent written and verbal communication skills and the ability to build effective working relationships while exercising the utmost discretion in managing sensitive and confidential information.
Key responsibilities include:
- managing the Group Executive's diary, appointments and email correspondence
- coordinating meetings, agendas, papers and minutes for executive and leadership forums
- co-ordinating group correspondence and ensuring quality and timely responses through Council's correspondence systems
- reviewing and editing reports, submissions, briefings and other business documents
- supporting group communication and engagement activities, including forums, site visits and onboarding activities
- coordinating input into corporate reporting requirements
- providing advice, guidance and support to administration staff across the group
- maintaining confidentiality and professionalism when handling sensitive information
To be successful you will have:
- excellent written communication skills, including experience preparing, editing and proofreading a range of business documents
- strong interpersonal and stakeholder engagement skills, with the ability to communicate effectively across diverse audiences
- exceptional organisational skills and the ability to manage multiple priorities in a dynamic environment
- experience supporting senior executives, including diary and workload management
- advanced proficiency in microsoft office applications and experience working with document management or correspondence systems
- Sound judgement, discretion and a commitment to maintaining confidentiality
- an understanding of workplace health and safety requirements, equity, diversity and inclusion principles.
