Are you ready to provide practical support to contract services across Public Space Operations?
We are looking for a customer and stakeholder focused, detail minded team member who can provide routine administration, record keeping, workflow support and contractor follow up across a diverse contract services portfolio.
Public Space Operations, through its Contracts Management function, delivers a wide range of contract-based services across the city, supporting clean, safe and well-maintained public spaces.
The Role
As a Contracts Support Officer, you will provide routine contract administration and processing support within an allocated Contracts Management work stream.
You may be assigned to support one of the key streams within the team, including Planning and Analytics, Delivery and Performance, Governance, or Customer and Stakeholder activities. Allocation to a stream may change over time based on operational priorities, service needs and the requirements of the broader Contracts Management function.
You will support accurate logging, record keeping, evidence capture and workflow administration, so information is current, traceable and suitable for reporting, assurance and audit readiness. Where allocated to Customer and Stakeholder activities, this may include support for notices, enquiries, requests, complaints, event support, claims administration and contractor work request processing
In this role, you will:
- Complete routine administrative and workflow tasks to approved procedures and timeframes, including data entry, register updates, document control and evidence filing.
- Maintain accurate and timely records in Council systems and shared registers so information is current, traceable and suitable for reporting, assurance and audit readiness.
- Support routine workflow activities linked to contract services, including notices, requests, enquiries, complaints, event support, claims administration and close out filing as directed.
- Support contractor administration under direction, including preparing correspondence, following up documentation, updating records and escalating exceptions or missing information promptly.
- Support routine communication and follow up with customers, contractors and internal teams, including providing factual updates, requesting documentation and tracking close out evidence.
- Support procure to pay administration tasks as required, including purchase order support, receipting follow up, invoice related information and basic exception lists.
- Prepare basic summaries and supporting information for reports, including clear notes on missing data, overdue actions and items requiring escalation.
- Apply basic checks for completeness and accuracy, and raise concerns early where quality, safety or timeframes are at risk.
- Contribute practical improvement ideas for templates, checklists and work instructions based on day to day processing experience.
- Maintain positive working relationships across Public Space Operations, contractors, suppliers and support areas to facilitate coordinated operational responses and continuous improvement.
To be successful, you will bring:
- Demonstrated experience completing routine administrative processing tasks, including accurate data entry, record keeping, document control and evidence filing.
- Strong written and verbal communication skills, including the ability to provide clear factual updates and escalate issues appropriately.
- Demonstrated ability to engage professionally with external stakeholders and manage expectations within approved processes.
- Demonstrated ability to follow procedures, meet cut offs and maintain quality, including identifying missing information and escalating exceptions promptly.
- Competence using office systems and spreadsheets, with the ability to learn Council tools and follow defined workflows.
- Demonstrated ability to support contractor administration under direction, including preparing correspondence, following up documentation, updating records and tracking actions.
- Demonstrated ability to manage routine workload, work collaboratively and contribute to a positive team environment.
While not mandatory, experience supporting procure to pay administration, event or claims support, governance or contract administration tasks, contractor management support, or using systems such as SAP, GIS or Power BI will be highly regarded.
