Are you ready to coordinate contract operations and support reliable service outcomes across a diverse contract services portfolio?

We are looking for a values driven Senior Contracts Officer who can coordinate day to day contract activities, support contractor management and help deliver safe, compliant and customer focused outcomes.

Public Space Operations, through its Contracts Management function, delivers a wide range of contract-based services across the city, supporting clean, safe and well-maintained public spaces.

The Role

As a Senior Contracts Officer, you will coordinate day to day contract operations within an allocated Contracts Management work stream.

You may be assigned to support one of the key streams within the team, including Planning and Analytics, Delivery and Performance, Governance, or Customer and Stakeholder activities. Allocation to a stream may change over time based on operational priorities, service needs and the requirements of the broader Contracts Management function.

You will support contract delivery through approved processes, coordinate contractor engagement and follow up, maintain accurate records and evidence, and support reporting, assurance and customer outcomes across the team’s Plan, Do, Check, Act operating model.

In this role, you will:

  • Coordinate the day-to-day work program for the allocated contracts work stream, including setting priorities, sequencing tasks, monitoring workflow and meeting agreed deadlines.
  • Support contractor management by coordinating routine contractor engagement, clarifying requirements, progressing actions and maintaining performance and issue records.
  • Support contract performance activities, including tracking service levels, identifying exceptions and contributing to corrective actions and verification of outcomes.
  • Maintain accurate contract records, evidence and registers so information is complete, auditable and available for reporting, assurance and decision making.
  • Prepare routine updates and reports that explain progress, risks, issues and actions, and support management oversight, dashboard reporting and customer response requirements.
  • Support the preparation and maintenance of work schedules, job briefs, estimates, costings, expenditure information and routine reporting required for contract management outcomes.
  • Support procure to pay administration and financial controls, including invoice, purchase order, receipting or payment related information, and escalate exceptions through agreed processes.
  • Coordinate customer and stakeholder matters linked to contract services, including enquiries, complaints, event support and operational updates, ensuring matters are progressed, resolved or escalated within agreed timeframes.
  • Undertake projects and other contract administration activities, including RFx documentation inputs, evaluation support, mobilisation, transition and close out activities, as directed, in line with approved methods, probity requirements and best practice.
  • Provide day to day guidance and coaching to Contracts Officers and support staff, review outputs for quality and completeness, and support consistent methods and system use across the team.
  • Maintain positive working relationships across Public Space Operations, contractors, suppliers and support areas to facilitate coordinated operational responses and continuous improvement.

To be successful, you will bring:

  • Demonstrated leadership capability aligned to Council’s Leadership Blueprint, including building capability, supporting performance excellence and applying Council values in day-to-day work.
  • Demonstrated experience coordinating day to day contract activities, priorities and workflow in a complex operational environment.
  • Strong contractor management capability, including routine contractor engagement, clarifying requirements, progressing actions and maintaining performance and issue records.
  • Proven ability to manage contract performance, including tracking service levels, identifying exceptions and contributing to corrective actions and verification of outcomes.
  • Excellent written and verbal communication skills, including the ability to provide clear updates, influence outcomes and work effectively with external contractors, internal stakeholders and operational leaders.
  • Demonstrated systems and data skills, including spreadsheets and routine reporting inputs, with a focus on data quality.
  • Proven capability in procure to pay administration or financial controls, including checking, exception follow up and corrective actions that meet Council policy.
  • Commitment to safety and compliance, including recognising risks and escalating appropriately.
  • Demonstrated experience contributing to continuous improvement initiatives.

While not mandatory, experience supporting procurement activity, RFx documentation, mobilisation, close out or transition activity, and the ability to become proficient in SAP, GIS, Power BI or similar tools will be highly regarded.
