Where do you want to go?

Due to an internal secondment, we are seeking a part time Team Coordinator to provide assistance to the Bayer Pharmaceutical medical team.

Working 22.8 hours per week (0.6 FT) we are open to the hours being completed in 3 full days or potentially shorter days over 4 days, giving you flexibility and work life balance.

We are looking for someone who can commence immediately and be able to commit to a contract until mid-February 2025.

This role is a primary contact for the Bayer Pharmaceutical medical department and covers a wide variety of duties:

  • Be the primary contact for the pharmaceutical medical department
  • Diary management, supporting meeting coordination and travel bookings
  • Supporting with preparing draft documentation and presentation materials
  • Coordination of departmental office based meetings including team meetings, medical clinical quarterlies, training, and ad hoc off site events
  • Liaising with local finance business partners on planned spends
  • Supporting the coordination of contracts and signatory requests
  • Manage processing of invoices and raising purchase orders
  • Maintaining the department’s SharePoint and functional team sites
  • Set up and maintenance of email distribution groups and organisational charts
  • Supporting the roll out of new processes, team training, and updating materials/resources
  • Supporting onboarding, offboarding and staff movements within the team
  • Electronic archiving of medical documents
  • Support with compliance and audit processes
  • Attend ANZ administrator and procurement meetings

To be successful in this role, you will need to demonstrate the following skills and experience:

  • Successful experience in an administrative support role and providing coordination for a large team
  • Enjoy completing a variety of duties, stepping up and using your initiative to complete tasks
  • Ability to work in an agile and team based environment
  • Previous experience in diary management, meeting coordination, agenda creation and minute taking
  • Contract negotiation experience and competency with a contract lifecycle management system would be highly regarded
  • Understanding of cost centre and budget tracking, purchasing, and invoicing, including experience with a procurement system
  • Competency with SharePoint, MS Teams, Concur, SAP,and DocuSign would be beneficial
  • Experience within the Pharmaceutical or medical industry would be highly regarded
