Aruma is looking for a Tender, Proposal & Strategy Coordinator / Junior Bid Writer to support our National Bids, Tenders and Grants team in identifying and securing new opportunities across our Operational Service Lines.
In this role, you’ll combine bid coordination, project management, and persuasive writing to deliver high‑quality, compliant submissions that help Aruma grow and continue providing essential services.
About the Role
- As the Tender, Proposal and Strategy Coordinator / Junior Bid Writer, you will:
- Monitor tender portals and share relevant opportunities.
- Download, organise, and manage tender documentation.
- Maintain bid registers and tracking tools.
- Schedule and support bid meetings.
- Coordinate internal approvals and sign‑offs.
- Submit tenders via portals or email, ensuring full compliance.
- Source required information through research, stakeholder engagement, and internal policy/resources.
- Liaise with Legal for contract reviews and proposed departures.
- Improve bid processes, templates, and best-practice tools.
- Identify and advise on tender and grant opportunities aligned with Aruma’s strategy.
- Support the National Manager with kick‑off meetings, draft reviews, and post‑bid debriefs.
- Maintain knowledge of internal protocols related to tenders, grants, and fundraising.
- Draft and edit persuasive, tailored bid responses.
- Research client requirements and incorporate them into content.
- Collaborate with subject matter experts for technical contributions.
- Ensure consistent tone, style, and template compliance.
- Proofread, format, and quality‑check all documents for final submission.
Skills and Experience That Will Make You Stand Out…
- 3+ years’ experience coordinating tenders, grants, funding strategies or similar processes.
- A degree in Communications, Law, Business Administration or a related field, or equivalent experience.
- Excellent organisational skills with the ability to juggle competing priorities and meet deadlines.
- Experience writing proposals, tenders, or strategic documents.
- Understanding of State, Federal, and Local Government procurement processes.
- Experience preparing RFI, RFQ, RFP or similar procurement responses.
- Ability to collaborate with stakeholders at all levels.
- Ability to work independently, set goals, and lead project components that align operational needs with strategic objectives.
- High attention to detail and ability to manage multiple priorities.
- High proficiency in Microsoft Office and document management systems (Planner, Excel, Word, MS Teams, PowerPoint).
- Experience working in a multidisciplinary environment.
