Who are we looking for?

A new opportunity has been created for an experienced administration professional to provide confidential support to the Office of the CEO. Reporting to the Executive Officer, you will be the first point of contact for the Office, acting as the interface between the Office and its internal and external stakeholders. This position will suit someone who is highly organised, discreet, and proactive with a 'can do' approach.

What can you expect to be doing?

  • Act as the first point of contact for the Office of the CEO, managing correspondence, phone calls, and addressing all incoming inquiries.
  • Maintain key contacts register and manage the correspondence register.
  • Collaborate with Governance Team to assist with the administration of Executive, Board, Committees and other meetings, as required.
  • Contribute to diary management including booking meetings, as required.
  • Work collaboratively with the media and communications team to assist with CEO communications and all staff communications as directed by the Executive Officer or CEO.
  • Coordinate meetings, conferences, workshops and events on behalf of the Office of the CEO including planning, organising venues, catering and oversight of administrative functions.

What do you need to bring?

  • Experience delivering confidential administration support.
  • Demonstrate high level of computer proficiency especially in MS Office.
  • Proven ability to maintain administrative systems.
  • Proven high level of organisation skills with the ability to maintain composure when under tight timeframes.
  • Proven ability to act confidentially and exercise discretion.
  • Ability to demonstrate positive customer service skills with a high level of communication and interpersonal skills.
  • Ability to build relationships and engage with stakeholders, including employees, Board members and external stakeholders.
