We're looking for a proactive Field Service Administrator to join our Service team based in Tomago. This is an excellent opportunity to play a critical role supporting field service activities while delivering exceptional customer service.
This is a part-time parental leave cover contract that is expected to last approximately nine months.
What you'll do
As the Field Service Administrator, you'll provide administrative support across our Field Service, Engineering and Training teams, ensuring the efficient coordination of jobs from booking through to completion and invoicing. You'll be a key point of contact for customers and contribute to the smooth operation of our service business.
Key responsibilities include:
- Managing end-to-end job administration and maintaining accurate job records
- Supporting the creation and management of customer orders, quotations and project documentation
- Coordinating job folders, customer information and status updates within Microsoft Dynamics F&O
- Assisting with invoicing readiness and project close-out activities
- Generating purchase orders and processing receipts and invoices
- Coordinating training records and equipment calibration schedules
- Maintaining databases, registers and quality documentation
- Providing exceptional customer service and administrative support across the business
- Liaising with internal stakeholders to ensure projects are delivered efficiently and accurately
What we're looking for
You will be an organised and customer-focused professional with strong administrative capabilities and excellent attention to detail.
Ideally, you'll bring:
- Previous administration experience within a manufacturing, industrial, mining, engineering or service-based environment
- Strong Microsoft Office skills, particularly across Word, Excel and Outlook
- Experience working with ERP systems and business management software
- Excellent communication and stakeholder engagement skills
- The ability to prioritise competing tasks and work effectively in a dynamic environment
- A proactive approach to problem solving and continuous improvement
- A commitment to maintaining high standards of professionalism and customer service
