Title: Project Coordinator

Location: Alameda, CA

Duration: 6 Months | 100% Onsite

Position Overview:

We are seeking a Project Coordinator to join the Artwork and Labeling Department. This position will support the Project Manager in coordinating the creation of labeling materials, instructional documents, and other content—not in design, but in information gathering and project tracking. The role involves close collaboration with cross-functional teams and artists to ensure timely and accurate development of artwork and labeling deliverables.

Key Responsibilities:

  • Coordinate labeling and artwork projects in collaboration with the Project Manager.
  • Organize and manage timelines, deliverables, and inputs from various stakeholders.
  • Assist with proofreading, editing, and ensuring accuracy in labeling and marketing materials.
  • Maintain tracking systems to manage multiple ongoing projects and deadlines.
  • Communicate effectively with cross-functional teams for input and alignment.

Required Skills and Qualifications:

  • Strong writing, editing, and proofreading skills.
  • Highly organized with keen attention to detail and ability to multi-task.
  • Experience with project coordination or project management, ideally in marketing, advertising, or artwork-related projects.
  • Proficiency with Microsoft Office Suite (Excel is essential).
  • Familiarity with Adobe Acrobat is a plus.
  • Ability to manage tasks methodically and track due dates across multiple projects.
  • Experience working with marketing brochures, event signage, or artwork is a plus.
  • Excellent interpersonal and communication skills.

Preferred Background:

  • Advertising, marketing, artwork coordination, traffic coordination, or similar fields.
  • Candidates with experience in medical devices, while not required, may be a strong fit.
  • Open to recent graduates interested in gaining experience in marketing or project coordination.

Education Requirements:

  • Bachelor’s degree with a minimum of 2 years of relevant experience, OR
  • Without a degree: Minimum 5 years of relevant experience with a high school diploma or GED, OR
  • Master’s degree: Must also have at least 2 years of relevant experience.
