The Role

The PMO Reporting role provides clear visibility across the organisation by maintaining accurate portfolio information, producing meaningful insights and supporting decision making at senior levels.

 

The role strengthens the long-term uplift of the PMO by improving transparency, maturing reporting structures and ensuring executives can trust the information they receive. It requires someone who works confidently in a hybrid delivery environment and understands how waterfall milestones and modern delivery practices come together in a whole of portfolio view.

 

The PMO Reporting role also manages the master schedule and provides a forward-looking view of dependencies, sequencing and risks across programs and projects.

Key Responsibilities

Portfolio Reporting and Insights

  • Produce reports, dashboards and summaries that reflect the health of the portfolio
  • Consolidate information from project and program teams into a unified organisational view
  • Identify trends and emerging risks across the portfolio and provide meaningful insights
  • Support reporting needs for executives, governance forums and the board
  • Recommend improvements to reporting structures and data capture

Data Analysis and Metrics

  • Maintain data accuracy across PMO registers and systems
  • Validate key inputs including schedules, RAG status, risks, issues and benefits
  • Provide interpretation and context for delivery metrics
  • Support improvements to reporting processes and data quality
  • Prepare analysis that helps senior leaders understand progress and challenges

Executive and Board Reporting

  • Prepare high quality reporting packs and summaries for senior leaders
  • Ensure information is clear, reliable and aligned with organisational expectations
  • Maintain consistency in format and messaging across all PMO reporting outputs

Master Scheduling and Dependency Management

  • Maintain the master schedule across the full portfolio of programs and project
  • Highlight dependencies and sequencing requirements across teams
  • Identify timing risks and potential impacts to strategic commitments
  • Monitor the accuracy of schedule updates and follow up where data is incomplete
  • Work with teams to maintain realistic delivery timelines
  • Provide forward looking insights that support planning and resource decisions

Organisational Alignment and Uplift

  • Support long term PMO maturity uplift through improved reporting practices
  • Help align reporting expectations across executive, technology and product teams
  • Contribute to training and guidance that improves organisational understanding of portfolio reporting
  • Provide feedback that helps evolve PMO processes and improve visibility

Expertise, Experience and Qualifications

  • 3+ years experience in portfolio reporting, project analysis or PMO data management
  • Practical experience working within hybrid delivery environments and able to interpret information from both waterfall and modern delivery approaches
  • Strong understanding of project and portfolio management concepts and reporting structures
  • Experience working with enterprise artefacts, templates and structured data
  • Exposure to telecommunications or complex technical environments is desirable
  • Tertiary qualifications in business, project management, data analysis or a related discipline are preferred

Important Skills

  • Experience with Jira, Confluence on premises or Microsoft Teams environments, or brings skills that uplift PMO reporting and data capability
  • Strong communicator who can translate complex information into clear messages
  • Confident engaging with senior leaders and providing insights that influence decisions
  • High level analytical capability with strong attention to detail
  • Able to identify trends, patterns and underlying issues across the portfolio
  • Patient, supportive and able to guide teams in improving data accuracy and reporting practices
