The Role
The PMO Coordinator supports the growth and maturity of the PMO by keeping information organised, consistent and reliable. The role helps build the foundations of a long term PMO uplift and operates confidently in a hybrid delivery environment.
This includes supporting teams that plan around traditional project milestones while also working with agile practices where they add value. The PMO Coordinator plays a key role in maintaining project registers, preparing documentation, coordinating governance activity and ensuring data in PMO systems remains accurate.
The role requires patience, curiosity and the ability to guide others as the organisation strengthens its delivery discipline.
Key Responsibilities
Operational Support
· Support the day to day operations of the PMO and maintain a steady rhythm of activity
· Assist with scheduling meetings, workshops and governance forums
· Prepare agendas, meeting notes, action logs and governance packs
· Provide administrative and logistical support to project and portfolio managers
Portfolio and Project Administration
· Maintain project and portfolio registers with current and accurate information
· Track project updates, status changes and delivery progress across teams
· Keep PMO templates, artefact libraries and knowledge repositories up to date
· Assist project teams with documentation requirements through the delivery lifecycle
· Coordinate the submission of artefacts needed for reviews and checkpoints
· Help ensure project information is stored in the right place and easy to find
Data and Systems Management
· Keep project data current within PMO systems including schedules, status and risk entries
· Work across organisational tooling, artefacts and templates to ensure consistency
· Validate the accuracy of key information used for reporting
· Support preparation of data inputs for PMO reporting and portfolio insights
· Contribute to improvements in PMO documentation, libraries and processes
Governance and Process Support
· Assist with preparing artefacts required for stage gates and governance reviews
· Check documentation for completeness and basic quality before submission
· Support teams in applying the project delivery framework
· Monitor adherence to PMO processes and highlight simple gaps
· Provide feedback that helps refine and uplift PMO practices over time
Expertise, Experience and Qualifications
· 3+ years experience in a PMO, project coordination or program support function
· Practical experience working within hybrid delivery models and able to operate comfortably across traditional waterfall milestones and agile practices
· Understanding of project delivery frameworks, governance and portfolio management
· Experience working with enterprise tooling, templates and artefacts
· Exposure to telecommunications or complex technical environments is an advantage
· Tertiary qualifications in business, project management or a related field are preferred

- Experience with Jira, Confluence on premises or Microsoft Teams environments, or brings new skills that help uplift PMO tooling capability
